Job Description

The Office Associate is responsible for performing a variety of administrative and clerical tasks.  The duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing the company’s general administrative tasks. This is a part-time position.


Essential Duties and Responsibilities

  • Schedule, prioritize and follow up on meetings and appointments for Management.
  • Maintain calendars and provide reminders. Monitor appointments to ensure the office operates efficiently.
  • Prepare reports, presentations, documents, etc. based on specific instructions. Reviews presentation materials for accuracy.
  • Answer and direct phone calls.
  • Plan / Organize / Schedule meetings and agendas and take detailed meeting minutes.
  • Write and distribute email communications both internally and externally.
  • Manage shipping and receiving.
  • Assist travel coordinator with travel arrangements. May make necessary travel arrangements, including ground transportation and hotel accommodations. Prepare travel itineraries for supervisor and direct reports.
  • Provide administrative support for recruiting team as needed:  formatting / updating resumes, coordinating interview schedules with internal management and clients, etc.
  • Organize new employee orientation / on-boarding by scheduling activities, ensure all required documentation is complete, generate and send out welcome letters and project notifications.
  • Collect detailed reporting data across departments as needed.
  • Handle confidential and/or sensitive department information with discretion.
  • Oversee office environment by preparing and submitting requests for new equipment, office furniture and/or equipment maintenance and repair. Ensures office supplies are replenished when needed.

Qualifications

  • HS Diploma or Associates Degree
  • Ability to understand and execute complex oral and written instructions.
  • Advanced organizational skills and strong attention to detail.
  • Excellent computer skills, with high proficiency in Microsoft Office Suite.
  • Strong typing / word processing skills are required
  • Highly accountable and motivated.
  • Ability to handle multiple tasks or projects with varied timelines.
  • Flexible and adaptable to a changing fast-paced environment.
  • Ability to work collaboratively in a team environment and demonstrate initiative.
  • Exceptional written and verbal communication skills
