Executive Assistant

Job Description

As the Executive Assistant you will be responsible for supporting the Chief Administrative Officer. Position will require excellent time management to coordinate multiple projects and a myriad of tactical or routine tasks for the CAO and Azzur Group’s leadership team. This role will perform administrative tasks ranging from basic to complex, with some project and oversight duties required, including consistent follow up on actions, tasks and research as needed. 

Essential Duties and Responsibilities:
  • Plan and book travel 
  • Track bills and expenses including any necessary follow up on credit cards or vendors for reconciliation 
  • Manage calendar, agenda, and appointments for the CAO and other executives, as necessary 
  • Utilize internal accounting and IT request systems to facilitate purchasing, POs etc.
  • Plan board, team, or departmental meetings as necessary and on a routine basis including organizing catering, venues, and entertainment 
  • Attend meetings when requested to take minutes and coordinate/organize follow-up actions 
  • Plan and develop communications or summary information for meetings, whether virtual or in person 
  • Planning and event support for scheduling remote & in-person classes, communicating with participants and ensuring logistical needs are satisfied 
  • Manage document storage for legal, commercial, transactional materials 
  • Work with the Marketing, Sales and other department leaders to populate content and relevant data via standard templates for reporting, create presentations; summarize meetings and decisions 
  • Special project coordination - on a frequent basis
  • Manage communications and business transactions with external partners and service providers (tax preparers, legal, bankers, advisors/consultants, etc.) 
  • Remain on call after local business hours (company operations span several time-zones)

Qualifications:
  • At least seven years’ administrative assistant/related office experience
  • Strong organizational, communication, and interpersonal skills
  • Adeptness at balancing competing priorities in a fast-paced environment, and flexibility in responding to changing situations
  • Ability to be resourceful and proactive 
  • Proactive self-starter, motivated to learn, needs minimum detailed direction
  • Experience with Apple technology, GSuite and Microsoft office software programs
